The Renewed Planning Module 

There is a new version of the planning module available. With the new planning module, it is easier to plan different services/contracts together. In addition, it has also become easier to repeat visits on the days you have in mind. Furthermore, the new planning module provides more overview during planning, and different services from different locations can be scheduled simultaneously.


As you probably already know, PestScan has the following structure regarding contracts. You can create a customer. Under the customer, multiple locations can be created. Visits can be created for each location. Therefore, planning visits is done at the location level.

When you open a location, you will see different tabs. To plan with the new planning module, click on the 'Contract' tab (and not on 'Planning', because that's where you plan with the old planning module). Under 'Contract', you will see multiple tabs. Under 'Services', you can create services. Examples of services are the monthly inspection of control points, and the biannual inspection of fly lamps.

To create a service, click on "Add New Service". Then, you can give the service a name in the "Header" field. Next, you can enter a route code. A route code is used to group visits from different clients that are close to each other during planning. More on this later. You can enter the rest of the information, as you would for a work order.

Under the "Recurrences" section, you can indicate how often the service needs to be repeated. In other words, how often a work order of this type needs to be repeated. You can give the repetition a name and then select the frequency of the repetition (weekly, monthly, etc.).


If you select "Daily", you can then indicate how many days there are between two consecutive visits. If you select "Weekly", you can indicate how many weeks there are between two consecutive visits and you can also indicate which day of the week to plan for. If you select "Monthly", you can choose to plan on the N-th day of the month (for example, the 14th) or on a certain day of the month (the first Monday of the month). If you select "Dates", you can also choose to plan on specific dates. It is also possible to create multiple repetitions for a service.


You can now create a second service or press the "Save All" button at the bottom to save all the data.

To schedule visits, go to the "Plan Work" tab on the left side of your screen. Then click on the "Create Schedule" icon. Here you can create a schedule set by clicking on the "new" button in the top left corner.



Under 'Filter' on the left-hand side, you can search for a customer, location or route code, and retrieve the services you have created. By giving services from locations that are close to each other the same route code, you can retrieve the services of these locations at once. To add services to the planning set, click on the services and then on the green 'Add' button. Then click on 'Save & Next'.



You can now see the location and services of the location. The dots represent the suggested visit dates. If a visit date is not convenient, you can move the dot to an alternative date. You can also indicate between which dates planning should take place and whether the work orders should have the status 'planned' (visible to customer and technician) or 'to be planned' (still to be scheduled).


 

If everything is set up correctly, you can press 'generate'. The work orders will now appear under the 'work orders' tab of the locations.

Furthermore, under 'settings' and the 'calendar' tab, you can find special settings related to the new planning module. You can define your weekend and determine where visits that fall on the weekend should be moved. In addition, you can define holidays and move visits to another day.
